Job Summary
We are looking for an experienced mandarin speaking multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management to the company by handling a variety of asset management, administrative purchase request & payment and internal control.
The candidate should be professional, attentive with a good understanding of processes and an attention to detail. They should always be prepared and responsive, willing to meet each challenge directly and be responsible for the result. The successful candidate must be a team player comfortable with computers, including computer software such as Excel, PowerPoint and Word as well as proficient in both business English written and verbal communication. In short the role would best suit a result-oriented, experienced, resourceful all-rounder. However most importantly, she/ he should have a genuine desire to meet the needs of others.
Key Responsibilities:
This job description is only an outline of the tasks, responsibilities and outcomes required of the role. - Optimize company physical asset management systems, processes, and operational standards to ensure standardized and efficient asset management.
- Responsible for the asset training, evaluation, and motivation of the physical asset team to improve professional skills and service awareness.
- Identify and assess risks in the physical asset management process, develop risk control measures, and ensure asset security.
- Cooperate with internal audit departments & financial department for physical asset audits to ensure consistency between accounts and physical assets, and prevent asset loss.
- Regularly organize physical asset counting to ensure consistency between accounts and physical assets, and promptly identify and resolve issues such as asset loss or damage and initiate the asset disposal process.
- Make annual plan for admin asset purchase request and handle the customs clearance if applicable.
- Continuously optimize administrative payment processes in line with company regulations and business needs to enhance work efficiency.
- Conduct analysis on payment data, identify potential issues, and propose improvement suggestions.
- Raise purchase request submitted by requestor on a timely manner and issue the PO to supplier.
- Verify invoices, contracts, acceptance documents, and other relevant credentials to ensure accurate payment amounts and payee information.
- Ensure timely and accurate payments, and maintain payment records and document archive.
- Maintain supplier information and good communication with suppliers and promptly address payment-related issues.
- Assist admin manager with internal control related tasks, including carrying out the quarterly compliance test, annual business proactive review etc.
