Job Summary
We are looking for an experienced multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management to the company by handling a variety of office management and the event organization requirements.
The candidates should be professional, attentive with a good understanding of processes and an attention to detail. They should always be prepared and responsive, willing to meet each challenge directly and be responsible for the result.
The successful candidate must be a team player comfortable with computers, including computer software such as Excel, PowerPoint and Word as well as proficient in both business English and Chinese written and verbal communication.
In short the role would best suit a result-oriented, experienced, resourceful all-rounder. However most importantly, she/ he should have a genuine desire to meet the needs of others.
Key Responsibilities:
- Office supplement management: Ensure smooth office daily operation; continuously improve the office environment and deal with staff daily requests/complaints.
- Office asset management: regularly check the asset a)management quality and supervise and provide support if required. b) asset allocation c) asset disposal/ scrap
- Storage room management: Ensure office has enough stock and all the items placed in an organized and trackable system.
- Procurement assistant: to raise the purchase order as requested and receive the service/goods and proceed the payments on a timely manner.
- Meeting and event support: timely support to supervisors and departments, results-oriented.
- Business trip support: generated invitation letter, booking transportation and accommodation for visitors and staff relocation.
- Supplier management: Maintain regular communication with suppliers, and report issue to supplier in timely manner and mange supplier performance appraisal
- Others: occasionally cover reception if required.
- Weekly meeting and quarterly report to Line Manager.

- Fluency in both English and Chinese (written and spoken)
